Managing Items
Items are the central objects in Expirly. Each item represents something with an expiration date that you want to monitor.
Creating an Item
- Go to Dashboard → Items
- Click Add Item
- Choose a category
- Fill in the required fields (Name, Category, Expiration Date)
- Optional: Add notes, domain, attachments, or category-specific fields
- Click Save
Automatic vs. Manual
- AUTO – SSL and Domain items with a domain specified are automatically scanned every hour
- MANUAL – All other items use the manually entered expiration date
Editing an Item
Click on an item in the table to open the detail page. There you can:
- Edit all fields (name, expiration date, notes, etc.)
- Add and manage reminders
- Assign tags
- Attach files (PDF, images, etc.)
- Assign the item to a team member (PRO+)
- View notification history
- Leave comments (PRO+)
Deleting an Item
Items can be deleted individually via the detail page or by bulk selection in the table.
Bulk Operations
In the item table, you can select multiple items via checkboxes and delete them as a group.
Status System
Each item has a status that is automatically calculated from the expiration date:
| Status | Meaning |
|---|---|
| OK | Expiration date is far enough in the future |
| WARNING | Item is expiring soon (configurable) |
| CRITICAL | Item is expiring in a few days |
| EXPIRED | Expiration date has passed |
Recurring Items
For items with regular renewals (e.g., annual subscriptions), you can set a recurring period. When the item expires, a new expiration date is automatically calculated.
